Responsibilities
Principal Responsibilities for 2008-2009:
- Administering
school operations to ensure orderly execution of school academic
activities in teaching Chinese language, and building up an efficient
school
- Presiding
over the Administrative committee meetings and other school meetings
- Build
up school education task forces
- Build
up school operation master calendar to direct/improve school
functionalities and efficiencies
- Build
up school back office infrastructure to serve school parents
- Provide
students with a high quality learning environments and ensure safety
- In
charge of school administration team, buildup a responsible and responsive
school admin team
- Planning
and overseeing the transition of the school administrative
responsibilities
- Act
as liaison of school admin team to the school board
- Report
to school parents meeting and board half year and year on education
progress
- Build
up a performing teacher team, recruiting new teachers and evaluating
teacher’s performance
- Work
with parent Council and school teams to help parents, and build up a
member friendly community.
- Representing
the School in external affairs such as interface WCC, HXCS,
county,…external entities
- Submitting
semi-annual & annual budget report to the Board of Directors and the
membership meeting
- Approving
and signing vouchers and payments
VP of Education and Operation Responsibilities for
2008-2009:
- Education Committee Chairperson
- Committee Members consists of Leads of Education Task
Forces, VP of Education & Education Assistant
- Draft up School Long term Education Goals/Objectives per
Board School Strategies
- Identify Education Issues and Setup New Task Forces to
Address the Issues. Coordinate Task Force Activities, and Managing
Progresses. Then review and Validate Proposals from Task Forces, and
Come up With Working Plan
- Organizer and Coordinator of the School Seminar Series.
- Oversee School Education Events
- Conduct Evaluation of Parents About School and Teachers
(with Dean).
- IT Infrastructure Development and Maintenance
- On-line Registration system maintenance
- Pilot programs for teachers to post homework, exercises,
and etc,
- Help set up computer and projector for teachers on weekly
basis,
- Install software and re-configure computer required by
teachers,
- Website update, upload and maintenance,
- System security management
- Upgrade the old website into the new one
- Inventory and Asset Management
- Manage all the school computers, projectors, and other
assets,
- Keep updating and keep track of the inventory list,
- Bring computers/projectors to school as required by
teachers
- Event Management
- Rent field for school Olympic sports game,
- Rent auditorium/theater for school graduation ceremony,
- Purchase insurances for those events separately,
- Purchase insurance for school volleyball team
VP of Registration Responsibilities for 2008-2009:
- Tracking online registration progress, and manage any registration issues per school policy
- Finalize student (both Children and Adult) class placements
- Handle ongoing registration adjustments and updates
- New students addition, Drop-offs, Grade jumps,…..
- Maintain registration policy document and updates as needed
- Record birth certificate for new students
- Screening and testing new students and place them in appropriate classes
- Provide teachers with latest student lists (Weekly updated class rosters).
- Provide statistics when necessary
- Registration for school academic events, including graduation, YCT test and SAT test
- Support school academic activities and events (Olympic games…)
- Order textbooks per registrations
VP of Communication Responsibilities for 2008-2009:
- Weekly Newsletter Publishing
- Send an-email out every Tuesday to solicit contribution,
- Edit received contributions on Wednesday
- Continue to edit, send it out by email and web by 10pm on
Thursday
- Public Relationships
- Help the school to communicate with WCC
- Help the school to communicate with OCA
- Help the school to interface with HXCS
- Help Principle to interface with General Counsel of PRC, New York
- Fund-raising
- Contact business owner to put advertisement in our school
directory.
- Assist other Fund-Raising activities

VP of Discipline & Safety Responsibilities for
2008-2009:
- Liaison person between Admin team and PTA.
- Executer of School Rules and Regulations.
- Chair of School Safety and Discipline Committee
- Arrive school around 8:30-9:00am to set up traffic corns,
ensure all the classrooms are unlocked before 9:00am, then monitor the
traffic at the parking lot to make sure everyone comply with the parking
lot rules.
- Patrol all POD posts at least once per a school day to
ensure coverage, and handle issues if any
- Assist teachers to maintain classroom disciplines, and
handle incidences
- Patrol campus and prevent the students to get on the roof
and stick their heads out of the windows.
- Post the signs on the doors and hallways for parents and
students to participant all the school activities in the orderly manner.
- Assist the principal and president of PTA to organize
school events, such as Chinese New Year party, Moon festival, Olympic, and
end of the year celebration.
Dean's Responsibilities for 2008-2009:
- Oversee and Coordinate School’s Academic Activities
- Prepare academic calendar and schedule classes. Assign
classes to different classrooms
- Compile teachers’ list and classroom assignment for school
directory
- Assist Principal in recruiting new teachers and in
evaluating teacher’s performance
- Maintain a substitute teachers’ pool for emergency
- Make sure review and exam papers are ready for each
marking period
- Evaluate new cultural classes and open them if good
- Conduct Day-to-Day Teaching Activities
- Compile weekly email to teachers. Communicate to all
teachers timely and appropriately
- Coordinate teacher training and teacher-parent conferences
- Oversee and collect/update annual teacher academic plans
and academic reports
- Manage teaching quality and other teaching related
activities

Conduct evaluation of parents about school and teachers (with VP
of education)
- Listen to teacher’s classes when time allows
- Issue Permits to sit in classrooms and notify teachers
- Manage teachers weekly attendance and the sign-in sheet
and maintain teacher's registration form
- Prepare teachers’ monthly timesheet, semi-annual bonus and
annual bonus for payroll
- Listen to teachers/parents concerns and resolve any issues
arise timely and properly
- Execute Student Learning Activities
- Manage the excellent student list, purchase gift cards and
print out excellent student awards
- Work with Vice Principal of Registration to evaluate new
students and assign them to proper classes
- Continue to research materials/textbooks for graduation
classes
- Maintain the Online Registration Database for Teachers
with Associate Dean
- Keep the student score card on file
- Any other tasks assigned by the Principal as needed
Treasurer Responsibilities for 2008-2009:
- Responsible for the entire school’s finance, budget,
accounting and taxation operations:
- Establish and maintain a professional budget and
accounting system for the school following the GAAP standard;
- Create and maintain school finance administration policies
and accounting protocols as an amendment to the school by law. And
implementing the finance policies.
- Produce the school’s annual budget for principal;
presenting the budget and interpreting the reasons for budget variances to
the school board for approval each school year; performing actual vs.
budget analysis and providing the budget implementation status to the
principal each quarter; developing a systematic method for improving
budget control.
- Verify the income with income support documentation that
submitted by register vice principal. Depositing various incomes to bank
account and entering the income information to various income accounts.
- Verify the reimbursement documentation and vendor
invoices, issuing checks to all expenses that are approved and signed by
the principal and entering all expense transactions to the school’s
various expense accounts.
- Verify the transactions on bank statements, performing
bank reconciliation on the school’s book and generating reconciliation
report each month.
- Generate accounts trial balance reports each month.
- Perform accounts adjustment, fixed assets depreciation
adjustment and book closing by the end of each school year; generating the
Income and Expense Statement and Finance Balance Sheet for the school
year.
- Report the financial status to all parents, the school
board and school committee annually or semiannually.
- Prepare and filing federal 990 nonprofit organization tax
return annually. Contacting IRS for 501.c.3 tax exempt regulation issues.
- Collect and verify teachers’ and administration members’
SSN number, address and payroll information, providing the information to
tax company for filing federal 1099 tax return for teachers and school
staff each year.
- Provide school finance policies and accounting information
to the independent auditor and assisting the auditor for school accounts
auditing.
- Fill and mail donation matching applications to various
companies requested by the donors.
- Manage the school’s reserve fund; finding the suitable
bank plan in which to put the money to generate more interest income
periodically.
- Carry out any job requested by the principal and school
board
- Supervise Assistant Accountant for teachers’ payroll and
inventory maintenance.
Associate Dean's Responsibilities for 2008-2009:
Teaching Activities
- Purchase teachers' supply and bring to school on the
August 2007 kick-off meeting
- Prepare teachers’ Contracts & Student Certificates
- Develop a strategic plan to listen to classes and provide
feedback to the Dean and Principal. Compile a survey of teachers. Assist
Dean to manage teaching quality and other teaching related activities
- Purchase and write thank you cards to teachers at Chinese
New Year and at the End of Year Celebration
- Maintain the Online Registration Database for teachers
with Dean
- Help teachers with the Online Homework Initiative
- Communicate to all teachers/parents timely and
appropriately
- Work well with HXNY team members
Student Activities
- Manage student volunteer's list and assign them to
classroom properly. Check their performance with the teachers once a month
and adjust placement accordingly
- Implement/Monitor exam when student wants to skip Grades
- Work with VP-IT to set up online score card for all
students
- Point person to help VP-Registration with issues of Online
Registration

- Provide coverage for the Dean when she is not available

Education Assistant Responsibilities for 2008-2009:

Principal Assistant Responsibilities for 2008-2009:
- Principal Desk: Parent/School Interface and Bridge of Admin Team
- Principal Desk owner duty during busy school hours (9:30-11:30)
- Assist parents with their school questions, journal major
issues
- Handle and resolve issues on spot if possible
- Inform corresponding admin team members to handle major
issues
- Collect suggestions from parents using suggestion box.
- Act as gearbox of School Admin team members in relaying
messages, and
- Team up with office general manager to handle routine
school administration issues
- Assist school principal in school day-to-day operations
- Weekly newsletter backup (along with Communication VP)

School Office General Manager Responsibilities for 2008-2009:
- School Office: Teacher/School Interface on Administration

Treasurer Assistant Responsibilities for 2008-2009:
- Responsible for teachers’ payroll and inventory account
maintenance
- Communicating with school dean to obtain the monthly
teacher’s salary adjustment sheet
- Process multiple factor information for each teacher to
finalize the salary monthly salary.
- Issuing the checks and distributing and/or mail the checks
to teachers
- Recording the salary payment information in the school’s
accounting system.
- Assisting treasurer gathering teachers’ payroll
information for annual 1099 tax return.
- Assisting Treasurer for school accounting operations.
- Maintaining the school’s inventory book; updating the
account information periodically
- Depositing various income to the school’s bank account.
- Implementing any special assignments the Treasurer and
Principal asks to do.
